Design and orchestration of business process automations: Power Automate, n8n, AI agents, RPA. Use case scoping, tool selection per case, governance and observability of production automations.
All organizations past a certain size accumulate manual repetitive processes: double entry between tools, cascading email validations, weekly extracts and reports, HR onboarding/offboarding, invoice processing, regulatory reporting. The cumulative cost of these manual tasks is massive (often 15 to 30% of operational team time) and quality debt accumulates (data entry errors, delays, omissions). Automation is no longer optional, but tool choice and governance remain the real subjects.
There is no single automation tool, but a portfolio to orchestrate. Power Automate: Microsoft 365 integrations, internal processes, Office flows. n8n or Zapier: heterogeneous SaaS integrations, lightweight automations. AI agents (Copilot Studio, Claude): non-deterministic tasks requiring reasoning (qualification, extraction, generation). RPA (UiPath, Power Automate Desktop): UI interactions on legacy applications without API. Custom code (Python, TypeScript): complex data transformations, tailored integrations. The right reflex: one use case = one adapted tool, not everything in Power Automate by default.

An automation industrialization program is typically structured over three to twelve months for a first governed portfolio, then in continuous mode for evolution. For an initial scoping with 5 to 15 prioritized automations, plan three to six months with a cell of four people: a business analyst consultant, a Power Platform developer, an n8n / AI agent developer, an IT referent for governance.
Choosing the tool before scoping the need. Many organizations buy UiPath or Power Automate Premium then look for what to run on it.
Candidate process scoring phase first: volume, potential gain, complexity, criticality. The tool choice flows from the use case, not the other way around. First wave: 3 to 5 prioritized quick wins, deployed in 6 to 12 weeks with measurable ROI.
Industrializing without governance. In 12 months, an organization can find itself with 100+ undocumented Power Automate automations, created by business teams and unmaintained.

Underestimating maintenance. An automation that works in prod today can break tomorrow if the source API changes or the UI screen moves (RPA case).
Automated regression tests from deployment, alerts on failures with routing to the responsible team, quarterly review of automations losing usage. For RPA: API-first strategy, RPA as temporary fallback while waiting for an official API.

Three criteria. Deterministic or not: if the process is entirely deterministic (fixed rules), Power Automate or n8n suffice. If the process requires reasoning (qualifying an email, extracting data from a document), an AI agent is necessary. Ecosystem: if Microsoft 365 dominant, Power Automate. If heterogeneous SaaS, n8n or Zapier. Volume and cost: Power Automate bills per user license, n8n self-hosted bills on infrastructure. Beyond a few thousand executions per day, n8n self-hosted becomes more economical. Our initial scoping evaluates these three axes per use case.
For a first portfolio of 5 to 15 governed automations, plan 150 to 350 k€ in nearshore co-delivery over 3 to 6 months. For an ambitious program with 50+ automations and Power Platform CoE governance, plan 500 to 800 k€ over 12 to 18 months. Annual run: plan 15 to 25% of project budget for maintenance and evolution.
RPA (UiPath, Power Automate Desktop) automates deterministic UI interactions on applications without API: it records clicks, entries, reads screens. Suited to legacy applications. RPA is fragile: a screen change breaks the automation. The AI agent (Copilot Studio, Claude) does non-deterministic reasoning: qualifying a request, extracting information from an unstructured document, drafting a response. The two are complementary: RPA for legacy UI, AI agent for decision.
Three levers. Automated tests from development (unit test, integration test on representative datasets). Execution monitoring with alerts on failures (Power Automate Activity Log, n8n Executions, Application Insights for custom). Quarterly review of automations: success rate, real gains observed, automations losing usage to archive. Every critical automation has a designated owner and a documented SLA.
