Choosing the tool before scoping the need. Many organizations buy UiPath or Power Automate Premium then look for what to run on it.

How to choose between Power Automate, n8n, and an AI agent to automate a process?+
Three criteria. Deterministic or not: if the process is entirely deterministic (fixed rules), Power Automate or n8n suffice. If the process requires reasoning (qualifying an email, extracting data from a document), an AI agent is necessary. Ecosystem: if Microsoft 365 dominant, Power Automate. If heterogeneous SaaS, n8n or Zapier. Volume and cost: Power Automate bills per user license, n8n self-hosted bills on infrastructure. Beyond a few thousand executions per day, n8n self-hosted becomes more economical. Our initial scoping evaluates these three axes per use case.

Cost depends on the number of automations in the portfolio, but above all on their nature: an automation touching a critical business system requires governance and testing on a completely different scale from an office workflow. RPA (UiPath, Power Automate Desktop) automates deterministic UI interactions on applications without API: it records clicks, entries, reads screens. Suited to legacy applications. The AI agent (Copilot Studio, Claude) does non-deterministic reasoning: qualifying a request, extracting information from an unstructured document, drafting a response. The two are complementary: RPA for legacy UI, AI agent for decision.
