Where the journey gets accountants stuck
A compliant invoice, with a matching order and receipt, goes through quickly. The time goes into the others. For each blocker, what the accountant experiences, then what the AI does: it suggests, the accountant validates.
01
Invoices spread across several channels
Invoices arrive by e-mail, as PDFs, on paper, on a supplier portal or a platform. Nobody knows how many are pending, nor where.
What the AI does
The AI collects the invoices from each channel into a single queue, time-stamps them and flags those left without action; the accountant decides what happens next.
02
Manual entry and errors
Each invoice is re-keyed: number, dates, net, VAT and gross amounts, supplier. A transposed digit is discovered at reconciliation, or at payment.
What the AI does
The AI reads the invoice, extracts the fields and checks that the totals are consistent; the accountant validates what was extracted.
03
Invoice without a purchase order number
The invoice mentions no order, or the order was never created. The accountant looks for who bought, and why.
What the AI does
The AI suggests the likely order from the supplier, the amounts and the dates, or flags the purchase as off-order; the decision stays with the accountant.
04
Discrepancies between order, delivery and invoice
Invoiced quantity above the received quantity, unit price different from the negotiated price, added fees. Without control, the difference gets paid.
What the AI does
The AI compares the three documents, quantifies each discrepancy and presents it before approval; the accountant validates or disputes.
05
Partial deliveries
An order is delivered in several shipments and invoiced in several invoices. Each invoice has to be linked to the right receipt.
What the AI does
The AI tracks the quantity still to receive and still to invoice per order line and links each invoice; the accountant confirms the link.
06
Credit notes and duplicates
An invoice sent twice, by e-mail then by post, is paid twice. A credit note arrives without a reference to the invoice it cancels.
What the AI does
The AI detects duplicates on number, amount and supplier, and links the credit note to its invoice; the accountant validates.
07
Approvals stuck in mailboxes
The invoice waits for the approval of a manager who received it by e-mail, while travelling or on leave. The due date passes.
What the AI does
The AI routes each invoice to the right approver according to the defined rules, sends reminders and flags overdue approvals; the accountant keeps control of the workflow.
08
Analytical posting and VAT
Expense account, cost centre, VAT rate, reverse charge on a foreign service (output VAT and input VAT to be booked together): each invoice requires several posting decisions.
What the AI does
The AI suggests the posting from the supplier's history and the VAT rules defined during scoping; the accountant validates.
09
Foreign suppliers and currencies
Invoice in a foreign currency, foreign or missing VAT, wording in another language: the processing leaves the routine.
What the AI does
The AI reads the invoice in its language, identifies the currency and the likely VAT regime and prepares the entry; the accountant accepts or corrects it.
10
Supplier reminders and disputes
The supplier chases an invoice already paid, or disputes a deduction. The accountant rebuilds the history by hand.
What the AI does
The AI retrieves the invoice, its status, the discrepancies noted and the linked payments, and prepares the answer; the accountant replies.
