Customer dunning and cash forecasting — Graduated reminders drafted by AI, approved by you

Get paid sooner without straining the relationship: a solution built for you at scoping, where AI drafts each reminder and you decide whether it goes out.

Chasing overdue customers is the job nobody wants: it takes method, tact and time, and it always comes last. This solution reads the customer accounts in your ERP or invoicing software, keeps the ageing balance current, proposes for each overdue invoice the reminder that fits its age and the customer's history, and hands it to the account owner: nothing is sent without their approval. Expected receipts feed a cash forecast that corrects itself with every payment. The solution is designed and built at scoping, from building blocks we already run internally: reminder preparation inside a CRM (a person sends) and overdue alerts in our invoicing tool.

Goal
Cut customer payment delays and give finance a cash position that stays current, with a solution built for you at scoping, without adding another software product.
How
Ageing balance fed from the ERP + graduated dunning scenarios + AI-drafted reminders + human approval before any sending + cash forecast recomputed at every receipt.

Benefits

  • No overdue invoice forgotten: the ageing balance is kept by the machine, not by the accountant's memory
  • Accurate, documented reminders: amounts, due dates and partial payments come from the file, not from retyping
  • The commercial relationship stays in your hands: every message is approved by the person who knows the customer, and the tone escalates with the age of the delay
  • A living cash forecast: it recomputes at every receipt instead of being rebuilt in a spreadsheet at month end
Customer experience impact

Customers reminded accurately, not harassed

A reminder that cites the right invoices, accounts for the partial payment received the day before and respects the promise made on the phone is received as a service, not as pressure. That is what AI drafting makes possible, and what human approval guarantees: the customer always deals with a person who knows their file. What the tool changes in the work: the ageing balance is maintained continuously, every reminder rests on the facts of the file, and finance reasons on a forecast kept current rather than on a spreadsheet rebuilt at month end.

Typical use cases

Finance department or receivables team of an SME or mid-cap with dozens of invoiced customers, accounting firm running dunning on behalf of its clients, subsidiary that must report a cash forecast to its group.

Graduated dunning across a portfolio of recurring customers

A manufacturer invoices dozens of customers every month. The AI sorts open invoices by age, prepares the courtesy notice ahead of the due date, then the first and second reminders with the list of invoices concerned. The account owner reviews, softens the tone if a dispute is open, and sends from their own mailbox. Customers who promised a date are checked on that date, not chased before.

Receivables managed on behalf of third parties

An accounting firm runs dunning for several companies. Each file has its own scenarios, tone and signatories. The AI prepares reminders file by file; the firm's staff approve in bulk what raises no question and review sensitive accounts one by one. Each company's owner receives the state of their ageing balance without having to ask.

Cash forecast for the executive committee

The finance director of a mid-cap presents a three-month cash position every month. Expected receipts are weighted by the payment behaviour actually observed for each customer, known outflows are added, and the table recomputes with every payment. The delay assumption for each customer is visible and editable: the forecast remains the finance director's, not the machine's.

Preparing a formal notice

When graduated reminders have failed, the AI assembles the file: invoices, reminders sent with dates, replies received, broken promises. It drafts the formal notice from the template approved by your legal counsel. Signing and sending remain a management decision; litigation is outside the scope.

Frequently asked questions

Frequently asked questions

Are reminders sent automatically?+

No. The AI drafts the message and places it in an approval queue; the account owner reviews, edits or rejects it, then sends it from their own mailbox. A key customer, an open dispute or a payment received in the meantime change the decision, and that decision stays human. Bulk sending is possible for courtesy notices ahead of the due date, always after approval.

How does the solution read our invoices and receipts?+

Two modes, set at scoping according to what your ERP or invoicing software allows. Automatic: it exposes an API, a connector or a scheduled file exchange; customer accounts and receipts are read without intervention and dunning statuses are written back. Semi-automatic: you export the customer balance and receipts at the agreed frequency, the solution works on those files and returns the approved reminders and the statuses to record. No connector is taken off the shelf: it is built for your project.

Is the cash forecast reliable?+

As reliable as its inputs. Expected receipts are weighted by the delays actually observed for each customer, known outflows are added, and every assumption is visible and editable by finance. The solution does not guess receipts that have not been invoiced or exceptional events; it provides a base that stays current, which you adjust with what you know.

What is out of scope?+

Debt collection litigation, factoring, credit insurance and customer scoring. The solution stops at the formal notice prepared for signature. It does not decide to block a customer account or a delivery either: it flags, management decides. And it does not exist off the shelf: it is assembled at scoping from building blocks we run internally, and its exact scope depends on your ERP and your dunning rules.

How long does it take to set up?+

We give no timeline before a trial on your own figures: an export of your customer balance and receipts over a recent period, anonymised if needed. We produce the ageing balance, the reminders that would have been proposed and a first forecast, and compare them with what you actually did. Scoping then fixes the integration mode, dunning scenarios, signatories, hosting and project duration.
