El-Facture — Invoicing, purchases and bank statements for small businesses

Issue your invoices, read your suppliers' invoices and match your bank statement in one place, then hand everything to your accountant.

El-Facture is an online application published by our group that gathers what a small business issues and receives every month: the sales invoices it sends, the purchase invoices it receives (read by OCR), the bank statements it imports as PDF and matches, the withholding tax prepared for filing, and the standard ledger export (FEC) it hands to its accountant. Separate from these functions in service, one capability is connected at scoping: El-Facture is designed to sign invoices electronically according to the rules of each country: the accredited signature provider of the country is connected at scoping. El-Facture is a facilitator between the company and its accountant, not an ERP and not bookkeeping software. The application is in production; no client uses it in day-to-day production yet, and a first pilot with accounting firms is scheduled. Product site: el-facture.com.

Goal
Give a small business and its accountant clean, current documents without installing an ERP.
How
Online application + OCR on purchase invoices + PDF bank statement import + matching + withholding tax + FEC export + invoice creation from a WhatsApp voice or text message, with a draft to confirm.

Benefits

  • Every document of the month in one place: sales, purchases, statements, withholding
  • The accountant receives read and filed data with an FEC export instead of loose PDFs
  • Purchase invoices are no longer retyped: OCR extracts, the user confirms
  • A tool built for a small business, with no ERP configuration or chart of accounts to master
Customer experience impact

Fewer lost documents, an accountant who reviews instead of collecting

For a small business the burden is not bookkeeping, it is collection: finding the invoice, photographing it, answering the accountant asking for the statement. El-Facture concentrates that collection at the moment the document arrives, and the firm receives data ready for review. What the tool changes in the work: the document is read and filed when it arrives, the accountant works on data rather than loose PDFs, and the owner looks up invoices issued, received and paid in one place.

Typical use cases

Micro-businesses, freelancers and small agencies invoicing a few dozen customers, accounting firms that want to receive read and filed documents from their clients rather than a shoebox.

Freelancer invoicing and handing over to the accountant

A consultant issues invoices from El-Facture, photographs purchase invoices, imports the statement at month end and matches the lines. The accountant receives the FEC export and the filed documents, with no e-mail exchange to track down a receipt.

Small agency subject to withholding tax

A communication agency receives payments reduced by withholding tax. El-Facture computes the withholding on each invoice, prepares the XML declaration export and matches the net payment against the issued invoice; the agency checks before declaring.

Accounting firm equipping its smallest clients

A firm offers El-Facture to its smallest clients to receive, every month, OCR-read documents and already-matched statements. The firm keeps bookkeeping and review; El-Facture spares it the collection and data entry.

Frequently asked questions

Frequently asked questions

Does El-Facture replace accounting software?+

No. El-Facture issues invoices, reads purchase documents, imports and matches statements, then hands the accountant an FEC export. Bookkeeping, year-end entries and tax returns stay in the accountant's software. It is a facilitator between the company and its firm.

How are invoices signed electronically?+

El-Facture is designed to sign invoices electronically according to the rules of each country: the accredited signature provider of the country is connected at scoping. This capability is not among the functions in service today: that connection and its tests are part of the scoping of each rollout.

Which banks and statement formats are read?+

Statements are imported as PDF; three banks have been validated on our internal test bench. A bank not yet supported is added from a sample statement provided by the user and verified before release.

What does the OCR do when unsure?+

It does not guess: every field extracted from a purchase invoice is shown to the user for confirmation before being saved, and an unreadable field stays empty. Poor-quality photos and handwritten invoices remain the hard cases; human confirmation is systematic. The same rule applies to an invoice dictated or typed in WhatsApp: a PDF draft is sent back and nothing is issued without confirmation.

Where does the product stand?+

The application is in production; no client uses it in day-to-day production yet, and a first pilot with accounting firms is scheduled. The functions in service are invoice issuing, OCR reading of purchase invoices, bank statement import and matching, withholding tax prepared for filing, the FEC export and invoice creation from WhatsApp. Electronic signature is not one of them: it is a separate capability, connected at the scoping of each rollout with the accredited provider of the country.
