Quote generation — Branded Word and PDF quotes priced from your own rate card, totals computed by code

A clean, branded quote where every price is entered from your rate card and never comes from a model's imagination.

A poorly presented or miscalculated quote loses a deal, and the time spent formatting it is time not spent selling. This solution starts from a brief (a conversation, a request for pricing, a specification) and produces a Word and PDF quote in your brand: parties, scope, set-up table and monthly table, computed totals, terms and signatures. Prices are entered by the salesperson from your rate card during preparation; the code computes the totals, and a missing price is marked as to be quoted or to be completed by a coded rule, never estimated by the model. For media services, a full chain turns the brief into a quantity plan in Excel (with the gap to budget), a PowerPoint presentation and the quote. The solution is in service internally, across several brands and currencies; it is offered to clients as a trial, with their rate card and template.

Goal
Produce consistent, presentable quotes from a brief, with no retyping and no invented price.
How
Structured brief + prices entered by the salesperson from their rate card + branded Word template + computed totals + to-be-quoted marking of missing prices + human page-by-page review.

Benefits

  • No invented price: every price is entered from your rate card, and what is not in it is marked to be completed
  • Uniform quotes from one salesperson to the next: same structure, same brand, same terms
  • Totals are computed by code, not by the language model nor by hand
  • For media, one brief yields the plan, the presentation and the quote, with no retyping between the three
Customer experience impact

A quote that reads well

For a prospect, the quality of the quote is the first glimpse of the quality of the work. A branded document with correct totals and complete terms says something about the provider. What the tool changes in the work: structure, brand and terms are the same whoever the salesperson is, totals are computed by code, and the salesperson's review goes to the substance of the quote rather than its layout.

Typical use cases

IT services firms, agencies, consultancies and service companies pricing from a rate card (days, packages, subscriptions), media agencies that must deliver plan, presentation and quote from one brief, sales teams that want uniform quotes whoever the salesperson is.

IT services quote from a conversation

A sales manager describes the deal in a few sentences: scope, profiles, duration, options. The solution asks what is missing, receives the prices the salesperson enters from their rate card (daily rate per profile, packages), builds the set-up and recurring tables, computes totals in the client's currency and produces the branded Word and PDF. The salesperson reviews page by page, adjusts wording and sends.

Media chain: from brief to quote

An agency receives a campaign brief with a budget. The chain produces the quantity plan in Excel, with the gap between plan and budget, then the recommendation deck and the matching quote. All three documents carry the same figures, computed once; the planner corrects the plan and the other two documents are regenerated.

Multi-brand quotes for a group

A group with several entities invoices under several names and in several currencies. Each entity has its template and its rate card; the same brief yields a quote in the brand of the issuing entity, with the right VAT and currency. Each entity's general terms come from the template, not rewritten every time.

Frequently asked questions

Frequently asked questions

Can the model get a price wrong?+

It never gets the chance: prices are entered by the salesperson from your rate card during preparation (the media chain reads them from a rate file), and totals are computed by code. The language model interprets the brief and writes the wording; it estimates no price. When a price is missing, a coded rule writes to be quoted or to be completed in its place, and setting it is up to you.

Do we need to proofread the quote before sending?+

Yes, page by page, and that review is part of the method. The model can misread a quantity, a scope or an option in the brief; a long table may need a layout touch-up. Nothing is sent by the solution: the quote is a file you review, correct and send yourself.

How mature is this tool?+

It is in service internally: our own quotes are produced with it, across several brands and currencies, and the media chain runs on our briefs. It has not yet been deployed at a client with their own rate card; that is the purpose of the trial we offer, on your real templates and rates.

Can it reuse our existing Word template?+

That is the starting point: your template (cover, styles, tables, terms, signatures) is adapted to receive the generated fields. If you have no template, we build one in your brand. The rate card remains a document you maintain, from which the salesperson takes the prices they enter; reading a rate file directly, as the media chain does, is decided at scoping.

How long to set it up for us?+

The schedule is decided at scoping, once the trial has run on your real documents: your template, your rate card and three or four recent briefs whose final quote you know. We compare the generated quotes with the ones you sent, and scoping then fixes template adjustments, the source of the rate card and any connection to your incoming requests.
